Stand construction & regulations

Here you will find important information about stand construction, set-up and dismantling, organisational deadlines and booking aloading zone via VisiFair.

To ensure the smooth set-up and dismantling of your stand, we recommend:

  • timely submission of stand construction details for official approval (only for stands with two storeys) by 26 November 2024.
  • timely submission of your orders via BECO Webshopwithin the indicated deadlines.
  • consideration of the traffic guide (available from October 2024), which includes detailed information regarding access into the exhibition grounds for exhibitors, stand constructors and suppliers.

Set-up and dismantling dates

Set-up

Start of stand construction:

  • 30 January 2025 | 7 a.m. – midnight
    Only possible in halls 1.1, 2.1, 3.1, 4.1, 5.1, 6.1
  • 31 January - 4 February 2025 | 7 a.m. – midnight
    All halls

Unofortunately a set-up before 30 January 2025 is not possible due to other events on the exhibition grounds.

End of stand construction:
3 February 2025 | midnight

End of decorative installation & stand construction approval:
4 February 2025 | 10 p.m.
After this period no more stand decorations are permitted.

Dismantling

Start of stand dismantling:

  • 7 February 2025 | 4 p.m.–10 p.m.
    No dismantling permitted before 4 p.m.!
  • 8 - 10 February 2025 | 7 a.m. - 10 p.m.

End of stand dismantling:
10 February 2025 | 10 p.m.

Exhibition Planning from A to Z

Set-Up and Dismantling

On weekdays the Messe Berlin GmbH “Lunch Box” canteen (Hall 7c, 3rd floor) will offer breakfast from 8.30 a.m. – 10.00 p.m. and lunch from 1.00 p.m. – 2.30 p.m.

Please also refer to our Catering Guide (available from January 2025) for special offers on the exhibition grounds during set-up and dismantling times.

Construction inspection will be carried out on 4 February 2025, by the technical department. Please note that all construction work on stands must be completed by 3 February 2025, midnight.

Every exhibitor is obliged to correctly equip and furnish the stand and to staff it with personnel for the duration of the exhibition.

It is important that packages delivered by post or courier are labelled as follows. Please give the name of a contact person who will be available on site to accept the package.

Please ensure that your stand is manned when deliveries are made, as we accept no liability for lost deliveries.

  • Log in to BECO Webshop.
  • Click on the black stand information tile on the right at “download hall plan”.
  • Only the hall plan with your own or commissioned stand will be available.

Exhibitors and/or their suppliers and stand builders who wish to use the freight forwarding services offered by Messe Berlin (e.g. loading/unloading using forklift trucks) can book this at the BECO Webshop or please order directly from Online Order Service: dbschenker.com.

Our hall inspectors are authorised to check compliance with the building regulations on behalf of the exhibition management and, if necessary, to intervene at the event of potetntial risks. Please see the Hall Inspectors Plan for telephone numbers for your hall: hall inspectors (PDF, 206.1 kB)

Protect your exhibits, stand equipment and personal items from theft. In our BECO Webshop you can find information about insuring exhibits & stand equipment as well as ordering additional security personnel – see the category Stand Services.

The insurance of your stand is not included in the price of stand space.

Independent of the general supervision provided, we recommend that you arrange security for your stand to ensure that it are protected as the hall supervision service does not accept liability for any claims. In this context, please note that valuable objects should be protected, particularly during the setting up and dismantling phases.

Stand security services can be ordered at the BECO Webshop. In accordance with Item 2.5 “Surveillance” of our Technical Guidelines (PDF, 416.8 kB) stand guards may only be provided by the security company contracted by Messe Berlin.

Approval is mandatory for individual stand constructions with double storey (Special conditions of participation (PDF, 137.1 kB), $7.1).

Send us the dimensioned stand plan of your stand builder via e-mail to messetechnik@messe-berlin.de by 26 November 2024.

Further information

  • A set up before 30 January 2025 is not possible due to other events on the exhibition grounds.
  • Night works are possible from 31 January - 4 February 2025: ordering at least 1 day before via BECO Webshop.
  • Please take note: All entrances and times in the traffic guide.

Admission to the exhibition grounds is only possible with a exhibitor or set-up/dismantling pass. When entering the premises, this must be shown together with the ID card.

Sunday, 2 February 2025: please note that HGVs exceeding a total permissible weight of 7.5t are banned from movements on Sundays and public holidays between the hours of 0000 and 2200.

Exceptions may be granted by a relevant transport authority, including for exhibitors’ vehicles, if the items transported are part of the inventory (§ 30 Abs. 3 StVO).

In accordance with § 46 Abs 1 Nr. 7 (StVO) permits may also be granted on an individual or permanent basis for particular movements:

  • 2.5 Equipment and exhibits, as well as foods for trade fairs, exhibitions, markets, local festivals, cultural or sports events
  • 2.6 Moving classic HGVs to trade fairs exhibitions, markets, local festivals, cultural or sports events
  • 2.10 Empty runs and return journeys in connection with movements as per Items 2.1 – 2.9.

To apply for a permit the following documentation is required:

  • a written application stating reasons (including details of the goods being transported) and proof that movements are necessary during the ban on HGVs
  • vehicle registration papers; in the case of non-German vehicles, if not contained in the registration papers, a corresponding official document with the total permissible weight

In accordance with § 46, 47 StVO, the office responsible for applications / permits is the road traffic authority of the district where goods are loaded, or where the applicant has their main offices or a secondary branch.

If goods are to be transported across borders, an application must be made to the road traffic authority of the relevant border crossing.

You can find detailed information on access and security regulations during the set-up and dismantling phases as well as the duration of the trade show in our traffic guide. Please also forward this to your stand constructors, co-exhibitors and freight forwarding contractors.

The traffic guide is expected to follow in October 2024.

When designing and constructing your stand, please be sure to comply with the Technical Guidelines and any authorisation requirements of Messe Berlin GmbH.

Please note that exhibitors are responsible for the waste generated by their participation in the trade fair.

Please order the appropriate waste disposal solution for your needs from the Messe Berlin Exhibitor Service Team or directly from our waste disposal partner ALBA Berlin.

The disposal of waste is under no circumstances included in a stand booking or stand cleaning service and must be ordered separately!

All waste must be handed over to Messe Berlin for authorised disposal at a charge; waste may not be taken outside the exhibition grounds!

Trade Fair Duration

If you would like catering at your stand, the colleagues at Capital Catering GmbH will be happy to help you. Please note that Capital Catering is our contractual partner for the event and a loss of sales payment will be due if a third-party caterer is brought in.

Please order early - catering should be ordered at least four weeks before the event. Visit the catering store

In the halls you will find various catering areas with food trucks where you can buy food and drinks.

Our Catering Guide is expected to follow in January 2025.

You are welcome to use the free WIFI for exhibitors during the trade show. You will find the SSID on various signs on exhibition site and it will also be listed here shortly before the event.

With the lead scanning app, you can capture the data of your trade show visitors with just one click. The data is immediately available online for further processing. After you have collected all the data on your leads at the event, that data can then be used to your advantage in the follow-up.

The app download can be used as often as you like, allowing all employees at your booth to use the Lead Scanning App. The app is available for iOS and Android.

Please note: Use of the lead scanning service is limited to those trade visitors’, who give permission to scan their ticket. This service can be booked via the BECO Webshop.

Should you require a parking space on the exhibition grounds we recommend that you order a parking pass at the BECO-Webshopas soon as possible.

Please note that parking passes are only valid from 5 - 7 February 2025 and cannot be used during the set-up and dismantling periods.

We offer several shuttle services: hotel shuttle, airport shuttle and an onsite shuttle.

All information on departure times and routes is expected to be published from January 2025.

Visitor tickets for your customers or partners can be ordered via BECO Webshop. The vouchers are free of charge. Please note that a handling fee will be charged depending on the package size. You can view the redeemed voucher codes later in your ticket account.

VisiFair

Loading zone booking for set-up and dismantling

With ➤ VisiFair exhibitors or their suppliers and stand construction companies reserve time slots for set-up and dismantling periods and receive detailed information on loading zones and time slots. The distribution and allocation of time slots for the various loading zones reduces congestion at the entrance gates considerably, thus saving precious time when assembling and dismantling stands and ensures on-schedule planning. There is no need to drive to the log points nor pay the deposit in case of compliance with the time-slots.

Entry to the exhibition grounds for set-up and dismantling is only possible with registration and booking of a loading zone! The booking portal VisiFair will be opened at a later date. Further information is expected to follow from November 2024.

Exhibitor passes & set-up and dismantling passes

Exhibitor passes

Exhibitor passes authorise exhibitors to access the exhibition grounds during, before and after the trade show. Exhibitors with an exhibitor pass therefore do not need an additional set-up or dismantling pass.

Each exhibitor is entitled to 4 passes free of charge for up to 20 m² of stand space and 1 additional pass for each additional 10 m² of stand space. Additional exhibitor passes can be purchased in the BECO Webshop. Exhibitors also have the possibility to buy additional exhibitor passes on site at the Exhibitor Service Centre in the Großer Stern (PDF, 57.4 kB).

Our subsidiary MB Capital Services GmbH (tickets@messe-berlin.de) will send the main exhibitor codes for the free exhibitor passes by e-mail, which can be redeemed in the Ticket Shop.

Set-up and dismantling passes

Set-up and dismantling passes are obligated for all stand constructors, suppliers and service providers. They allow access to the exhibition grounds during construction and dismantling times. Exhibitor passes are also valid as a set-up and dismantling pass for access to the exhibition grounds.

Set-up and dismantling passes are free of charge and must be ordered via the BECO Webshop. You will receive codes which you must personalise in advance in the Ticket Shop.

To facilitate admission checks, we ask you to wear your exhibitor passes visibly. When entering and leaving the exhibition grounds, it is necessary for you to have your exhibitor passes scanned by our admission staff. During the set-up and dismantling periods, set-up and dismantling passes must be worn visibly.
